We are seeking a highly organized and detail-oriented professional to join our esteemed team in Saint-Prex, Switzerland, as an Administrative Analyst. This pivotal role is integral to the seamless operation of our administrative services and the maintenance of our facilities.
Position Overview:
As an Administrative Analyst, you will be the cornerstone of our administrative functions, ensuring the efficient management of our office and supporting various departments. Your responsibilities will encompass a wide range of tasks, from managing contracts and travel expenses to coordinating events and overseeing procurement processes.
Key Responsibilities:
- Administrative Services and Building Maintenance: Act as the primary point of contact for all administrative services and the maintenance of our Switzerland office.
- Contract Management: Oversee the management, tracking, and archiving of all contracts and Letters of Intent (LOIs) in strict adherence to local regulations and company policies.
- Expense Management: Control and report travel expenses for our employees, ensuring compliance with our travel policy.
- Invoice Processing: Handle the daily processing of invoices and payments for purchasing credit card expenditures.
- Procurement: Conduct procurement processes related to administrative and maintenance services, ensuring compliance with corporate policies.
- Event Coordination: Organize and coordinate internal and external events, working closely with the Communication department as needed.
- Facilities Support: Support the infrastructure of our building facilities, including reception, security, cleaning, and catering services.
- Compliance: Ensure all third-party service contracts comply with contractual terms and corporate policies.
- Operational Procedures: Develop and maintain operational procedures related to administrative activities, striving for continuous improvement.
- Health & Safety: Support Health & Safety initiatives at our site, ensuring a safe and compliant work environment.
Qualifications:
- Proven experience as an administrative assistant.
- In-depth knowledge of procurement processes.
- Exceptional teamwork and communication skills.
- Proficiency in French and English; Portuguese is an advantage.
- Excellent communication skills written and verbal.
- Strong multi-tasking, time management, and problem-solving abilities.
- Proficiency in MS Office and SAP.
- High attention to detail and a strong sense of urgency.
- Integrity, professionalism, and the ability to work autonomously.
